Description:
This role will provide administrative support to the VP of CRM Applications & Channel Intelligence and the VP of Planning & Analysis-Marketing Programs. The role requires proficient use of Outlook, Excel, PowerPoint, and Word, in order to produce high quality reports, presentations and other documents including but not limited to managing team meetings and events, managing heavy calendars, managing complex expense reimbursement reporting, managing invoice processing against a budget and coordinating complex travel arrangements. Additional proficiency in managing P&L tracking a strong plus. Requires comprehensive skill and knowledge of organization policies and practices. Expert in multi-tasking, organizing, and prioritizing a must. Strong written and verbal communication skills. Detail oriented with the ability to work independently and prioritize workload. Demonstrates a high level of integrity and professionalism. Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment.
Essential Functions:
- Proficient knowledge of MS office programs with strong emphasis on Outlook, Word, Power Point and Excel.
- Must have strong organizational and written communication skills as well as providing excellent customer service.
- Must be proactive, organized and detail oriented
- Proven ability to make independent decisions regarding planning, organizing and scheduling.
- Contacting and maintaining communication with senior-level leaders, external vendors, applicants, and internal leaders.
- Coordination of conference and meeting logistics (booth set-up requirements, room set-up, conference registrations, collateral shipping
- Management of expense reimbursement process for the team via travel and expense system, Concur
- Process and allocate third party and internal invoices for the team.
- Ad hoc projects and requests
- Coordinates scheduling of meetings with internal and external business partners
- Contacting and maintaining communication with vendors, candidates, and internal leaders including, fielding questions about team initiatives, making sound judgment of next level steps related to elevated communications
Requirements:
- Minimum Education: College Degree
- Minimum of three years of administrative experience in a corporate environment or related discipline
- Prior experience with travel and expense reimbursement systems such as Concur
- Ability to handle multiple tasks with an interest in taking initiative
- Must have experience with heavy calendar management
- Strong desire to work on core work projects outside day-to-day responsibilitiesEstimated Salary: $20 to $28 per hour based on qualifications.
