Position Overview:
We are looking for a special person to fill a vital role in our company.
This person will be the personal assistant to the visionary entrepreneur that started our company.
They will be his right hand and will directly be involved in many of his projects, both business and personal.
They must have excellent communications skills, as they will be representing him from time to time.
They must be warm, insightful, and thorough.
The ability to manage timelines and maintain relationships is essential.
This role offers a hybrid work arrangement primarily remote, with periodic in-person attendance at our Stamford office but will involve occasional travel, providing the opportunity to contribute to the success of a thriving business with both professional and personal responsibilities.
Responsibilities:
Project Management:
Coordinate and manage projects, ensuring priorities are set, goals are achieved, and objectives are clear throughout the company.
Collaborate with various teams to streamline processes, improve overall project efficiency, and expedite workflows.
Communication and Relationship Management:
Act as a liaison between the CEO and both internal and external executives and stakeholders.
Maintain a high level of professionalism and strict confidentiality in all interactions.
Facilitate effective communication within the team and with clients.
Travel Coordination:
Arrange travel logistics for the CEO, including flights, accommodations, and ground transportation.
Prepare travel itineraries and ensure all necessary arrangements are in place.
Handle any unforeseen travel-related issues promptly and efficiently.
Calendar Management:
Manage the CEO's calendar, scheduling meetings, appointments, and events.
Prioritize and coordinate commitments to optimize the CEO's time.
Prepare agendas to ensure efficient use of meeting time.
Administrative Support:
Handle various administrative tasks, such as email management, creating reports in Excel and document preparation.
Assist in organizing and executing both business and personal events.
Personal Assistance:
Support the CEO in managing personal tasks and commitments as needed.
Demonstrate flexibility in addressing both professional and personal matters.
Qualifications:
Proven experience as an executive assistant reporting to upper management Exceptional organizational and prioritizing skills.
Excellent communication and interpersonal abilities.
Proficient in Microsoft Office Suite and other relevant software.
Ability to work independently and remotely while maintaining a high level of productivity.
Flexibility to adapt to changing priorities and deadlines.
Discretion and confidentiality in handling sensitive information.
A willingness to travel a few times per year as required.
